Worship Team View
TimelyChurch provides two ways for worship team members to access the songs, keys, and chord charts they need for an upcoming service: Shared Setlists (generated from service orders) and Song Share Links (for individual songs). Both produce a public URL that works on any device -- phone, tablet, or laptop -- without requiring the viewer to log in.
Shared Setlists
A Shared Setlist is a read-only view of the songs from a Service Order. It is the primary way to get your worship team prepared for a service.
Creating a Shared Setlist
- Open a Service Order for an upcoming event.
- Click the Share Setlist button.
- Configure the following options:

| Expiration | Set an expiration date, or leave blank to keep the link active indefinitely. |
| Theme | Choose a visual theme for the shared page. |
| Show Song Order | Whether to display the numbered order of songs. |
| Allow Individual Transpose | Whether viewers can transpose keys on their own device (without affecting others). |
- A unique URL is generated. Copy it and share it with your team via text, email, or your team messaging app.
What the Team Sees
When a team member opens the shared setlist link, they see:
- The service name, date, and description.
- A list of all songs in the order they will be performed.
- For each song:
- The song title and artist.
- The key the song will be performed in.
- The arrangement being used (if specified).
- The chord chart or lyrics (based on settings).
- Any notes added by the worship leader.
- If "Allow Individual Transpose" is enabled, each team member can use a key dropdown to transpose the chords to a different key on their own device -- useful if a guitarist wants to use a capo and play in a different position.
Snapshot, Not Live Sync
A shared setlist captures a snapshot of the service order's songs at the moment you click Share Setlist. If you later add, remove, or reorder songs in the service order, the shared setlist does not automatically pick those changes up. To publish updates to your team, delete the existing shared setlist and create a new one. (A future "re-sync" or "regenerate token" action is on the roadmap but is not yet shipped.)
Password Protection
If a password was set, visitors will be prompted to enter the password before they can see the setlist content.
Expiration and Deactivation
- Shared setlists with an expiration date will automatically stop working after that date.
- You can manually deactivate a shared setlist by deleting it from the service order's Sharing panel; this revokes the URL immediately.
- To rotate the URL, delete the existing share and create a new one -- the new share will get a fresh, unguessable token.
View Tracking
The system tracks:
- Total view count -- How many times the setlist has been accessed.
- Last viewed at -- When the setlist was most recently opened.
- Device type -- Whether the viewer was on mobile, tablet, or desktop.
- Access logs -- A detailed log of each view with IP address, user agent, and device type.
Song Share Links
Song Share Links let you share an individual song's chord chart and lyrics via a public URL. This is useful for quick sharing outside of a full service plan -- for example, sending a song to a guest musician.
Creating a Song Share
- Open a song in the Song Library.
- Click the Share button.
- Configure:

| Target Key | Optionally transpose the chord chart to a specific key. |
| Show Nashville Numbers | Display chords as Nashville Numbers instead of letter names. |
| Show Chords | Toggle chord display on or off (useful if sharing lyrics only). |
| Share Attachments | Include the song's uploaded files (chord charts, lead sheets, audio). |
| Expires In | Number of days before the link expires (1-365), or leave blank for no expiration. |
| Password | Optionally require a password. |
- A shareable URL is generated. Copy it and send it to your team.
Quick Share
From the Song Library list, click the share icon next to any song. This instantly creates a share link with default settings (chords visible, no password, no expiration) and shows the URL in a popup ready to copy.
Live Key Control
After creating a song share, you can update the settings in real time from the admin panel:
- Change the target key -- All viewers will see the new key within seconds.
- Set a capo position -- Display a capo recommendation to viewers.
- Toggle Nashville Numbers -- Switch between chord letters and numbers.
- Toggle chords/lyrics visibility -- Show or hide chords for all viewers.
This is particularly useful during rehearsal -- you can change the key on your admin screen and everyone viewing the shared link on their devices will see the update automatically.
Share Statistics
For each share link, you can view:
- Total views
- Recent views (last 5 minutes)
- Current target key
- Last update time
Managing Shares
All active share links for a song are listed on the song's detail page. You can:
- View the link URL.
- Update settings (key, display options).
- Delete the share to revoke access.
Tips for Worship Team Communication
- Share the setlist early -- Send the shared setlist link as soon as the service order is finalized, ideally several days before rehearsal.
- Use individual transpose -- Enable "Allow Individual Transpose" so each musician can view the chart in their preferred key/capo position.
- Add notes to items -- Use the notes field on service order items to communicate specific instructions (e.g., "Acoustic intro only" or "Key change to B on last chorus").
- Use Quick Share for last-minute additions -- If a song is added after the setlist was shared, use Quick Share to send a direct link to just that song.
- Password-protect sensitive content -- If your setlist includes copyrighted chord charts, add a password to limit access to your team members.
Device Compatibility
Shared setlists and song shares are fully responsive and work on:
- Mobile phones -- Optimized for small screens with touch-friendly controls.
- Tablets -- Great for music stands.
- Desktop/laptop -- Full-width display with all features.
No app installation is required. Team members simply open the link in any web browser.
