Team Portal Overview
The Team Portal is a dedicated area within the TimelyChurch Member Portal designed for teachers, volunteers, and group leaders. It gives you quick access to your schedule, lesson plans, tasks, availability settings, and team directory -- all from one place.
Who Can Access the Team Portal?
The Team Portal is available to anyone who has been added as a team member by a church administrator. This includes:
- Teachers who are assigned to teach classes
- Volunteers who serve on event-based serving teams (sound, greeting, worship, etc.)
- Group Leaders who lead small groups, Bible studies, or ministry teams
When you log in to the Member Portal, you will see additional sections in the sidebar navigation if you have team access.
What You Can Do
As a Teacher
- View your teaching schedule in list or calendar view, see which class and lesson you are assigned to, and check the date and time
- Browse and select lessons from the shared lesson library, or create and propose new lessons
- Request a substitute when you are unable to teach, with the option to provide a reason and urgency level
- Claim sub requests from other teachers who need help covering their class
- Set your availability by adding the dates you are unavailable (and setting up recurring patterns and scheduling preferences) on the Availability page
- Submit supply requests for items you need for an upcoming lesson
- Manage personal tasks that are assigned to you or that you create for yourself
As a Volunteer
- View your serving schedule with upcoming and past assignments, including the event name, position, and date
- Accept or decline assignments directly from the portal or from email notification links
- Check in to your assignment when you arrive to serve
- Sign up for open opportunities if your team has open positions that allow self-signup
- Set serving availability by marking dates when you are unavailable, so schedulers can plan accordingly
- Configure scheduling preferences such as preferred days, time-of-day preferences, maximum times per month, and whether you are available for last-minute requests
As a Group Leader
- View all groups you lead with member counts and upcoming events at a glance
- See group details including member roster, meeting schedule, and group description
- Record group meetings with date, topic, notes, and attendance tracking
- View event registrations for events hosted by your group
As a Serving Team Leader
- Access the Team Leader Dashboard to see your team members, upcoming events, and all assignment statuses
- Confirm or remove assignments for volunteers on your team
- Request substitutes on behalf of team members who need coverage
Navigating the Team Portal
When you log in, the sidebar on the left side of the screen shows your available navigation options. Team features appear under a Team heading and may include:
- My Schedule -- Your schedule, with in-page Teaching, Serving, and Open Roles tabs (teaching assignments, serving assignments, and open positions you can sign up for)
- Lessons -- The shared lesson library
- Tasks -- Your personal task list
- Availability -- Add the dates you are unavailable, set up recurring patterns, and choose your scheduling preferences
- Team Directory -- Browse fellow team members and their contact info (see Team Directory)
If you are a group leader, you will also see a Leadership section with:
- My Groups -- The groups you belong to, split into Groups I Lead and Groups I'm In
Your serving schedule and the open positions you can sign up for are reached through the My Schedule sidebar item -- open it, then switch to the Serving or Open Roles tab.
Your Dashboard
The main dashboard shows a welcome banner with a summary of your upcoming shifts and pending tasks. Below that, team members see three cards:
- My Schedule -- Your next upcoming assignments
- Sub Requests -- Open substitute requests from other teachers that you can claim
- My Tasks -- Your pending and in-progress tasks
Tip: The dashboard is your home base. Check it regularly to stay on top of your upcoming commitments and see if anyone on the team needs help.
Getting Help
If you do not see team features in your portal, contact your church administrator to verify that your account has been added to the team. Your church admin manages team membership through the admin panel.
