Follow-up Reports

Follow-up Reports

The Follow-up Reports page ("Track pastoral care and follow-up tasks") helps you stay on top of pastoral care by tracking open, overdue, and completed follow-ups -- so no one falls through the cracks.

How to Access

  • Go to Reports in the admin sidebar, and in the All Reports section, under More, click Follow-ups.
  • Or click the Overdue (Follow-ups) quick-report tile on the Reports dashboard.

Follow-ups are pastoral and personal, so this report needs access to People and Follow-ups as well as Reports. Export CSV also needs the Export action on the Reports row. If your role reaches only Their teams, the report shows only the follow-ups in the teams you lead. See Who Can Open Which Report.

What You Will See

Summary Cards

  • Open Follow-ups -- all follow-ups still pending.
  • Overdue -- pending follow-ups whose due date has passed.
  • Due This Week -- pending follow-ups due between today and the end of this week.
  • Completed -- follow-ups completed within the selected date range.

By Category

How many open follow-ups there are in each category (for example new visitor or prayer request), so you can see which kinds of care are most common.

By Team Member

"Open follow-ups assigned" to each person, most first (the top 10 are shown, with the total number of assignees), so you can see how the workload is spread across your staff. Follow-ups nobody owns show as Unassigned.

Overdue Follow-ups

A table of past-due follow-ups, oldest due date first (the top 20 are shown, with the total count): Person, Category, Due Date, Assigned To, and Days Overdue. Click a person's name to open their profile. If nothing is overdue, the section says All caught up!

Date Range

Use the Range: selector at the top of the page to change the period for the Completed count (the standard presets plus Custom range…). The other cards and lists always reflect today.

Exporting

Click Export CSV to download the overdue follow-ups with the columns Person, Category, Assigned To, Due Date, Status. The file is named follow-ups-YYYY-MM-DD.csv.

Tips

  • Red overdue numbers need immediate attention -- they represent people waiting for a response.
  • If one team member carries most of the open follow-ups, consider reassigning some of them.
  • The Overdue tile on the Reports dashboard is a quick daily check.
