Song Sync — The App That Keeps Your Media Computer Ready for Sunday

Somebody always ends up copying files onto the media computer by hand — the right key, the right format, in the right order, hopefully before people start arriving. Song Sync is a small app that does that job for you.

Install it on the Mac or Windows computer that runs your slides, and it keeps one folder current with every song on your upcoming setlists — in play order, already in the format your presentation software wants. Change a set, edit a chart, publish a translation, and Song Sync notices and re-exports just what changed. Nobody has to remember to do it by hand again.

What It Is

Song Sync watches over one job: keep a folder on the media computer full of exactly what Sunday needs, already exported and ready to open.

Pair it to your church once, point it at a folder, and choose the format your presentation software uses — ProPresenter, PowerPoint, PDF, Images, or plain Text. From there, Song Sync builds a dated folder for each upcoming setlist containing every song in play order (01 - Title, 02 - Title, and so on), already in the arrangement and key that setlist calls for. Nothing to re-import, nothing to re-key by hand.

It's the same export engine behind Previewing and Exporting Congregation Slides — the same five formats, the same rendering. Song Sync just runs it on a schedule instead of one click at a time.

Setting It Up

1. Go to Worship → Setlists, then click Devices to open the Devices page.
2. Click the Song Sync tab.
3. Click Create Song Sync code. A short code appears — this is what pairs a computer to your church.
4. On the media computer, open the Song Sync app, enter the code, then choose a folder to sync into, a format, and a schedule.

That's the whole setup. Come back to the same tab any time to see which computers are paired, grab the code again for a second computer, or rotate the code if it was ever shared by mistake — rotating it doesn't disturb computers already paired.

Two computers can be paired per church at a time. Most churches run one media computer and one backup or livestream machine, which is exactly what that covers. Revoking a paired computer frees its slot for another one.

Choosing a Schedule

In the app, you pick when it syncs: daily at a time you choose, or on specific weekdays at a time you choose — plus a Sync Now button for whenever you want it right away.

There's no "every 5 minutes" option, on purpose. A setlist doesn't change every five minutes — it changes when somebody edits it, which happens a handful of times a week, not continuously. A coarse schedule already catches every real change, so Song Sync sits quietly in the background instead of checking in constantly for nothing new to find. Sync Now is there for the moment something actually needs to land right away — right before you leave for the building, say.

Translations, Per Computer

If any of your songs have published translations, Song Sync can pull a bilingual set into a computer's folder instead of the original language alone — pick the language in the app, the same way you pick a format.

It's a per-computer choice, not a per-church one: the projection computer can sync English-only while the livestream laptop pulls the Spanish set, or the other way around. Only published translations are ever offered — a translation still marked draft never leaves the building unattended, the same rule the web export already follows.

Preview

A read-only preview of a song's slides — see them before they land in the folder — is coming to the app in a future update.

When a Plan Lapses

Song Sync is a Pro feature. If your church's plan or subscription lapses, syncing pauses — the app gets a plain notice that the subscription isn't active instead of new files — but nothing already synced is touched. Whatever is sitting in the folder from the last successful sync stays exactly where it is until the subscription is restored, and syncing picks back up from there.
