Attendance Reports
Attendance reports help you track who is showing up, identify trends over time, compare classes, find absentees, and review check-in history. All attendance reports are accessible from Reports > Attendance in the admin panel.
Attendance Overview
The Attendance Overview gives you a high-level picture of attendance activity across your entire church for the selected period.
How to Access
- Go to Reports in the admin sidebar.
- Under the Attendance category, click Overview.
What You Will See
Quick links at the top navigate you to the three sub-reports:
- By Class -- Attendance breakdown per class
- Absentees -- People who have not attended recently
- Check-ins -- Detailed check-in history
Summary cards:
- Total -- Total attendance records (present) in the selected period.
- Unique -- Number of distinct individuals who attended at least once.
- Avg/Wk -- Average attendance per week in the selected period.
- Check-ins -- Total check-ins recorded via the check-in system.
Weekly Trend chart -- A line chart showing attendance counts per week over the last 12 weeks, providing a visual trend of whether attendance is increasing, stable, or declining.
By Class breakdown -- A horizontal bar chart showing the top 8 classes ranked by total attendance count. If more than 8 classes exist, a "View all classes" link takes you to the full Attendance by Class report.
Changing the Date Range
Use the date range selector to adjust the reporting period. All statistics and charts update to reflect the chosen range.
Exporting
Click Export to download a CSV containing every attendance record in the period, with columns: Date, Name, and Class.
Attendance by Class
This report breaks down attendance data by individual class, allowing you to see which classes are thriving and which may need attention.
How to Access
- Go to Reports > Attendance > By Class.
- Or click the By Class quick link on the Attendance Overview page.
What You Will See
Date range selector to control the reporting period.
Class filter -- A dropdown that lets you select a specific class or view all classes. Each class in the dropdown shows its attendance count in parentheses.
When no class is selected: An "All Classes" summary list showing every active class with:
- Class name and age group
- Total attendance count for the period
- Click any class to drill into its details
When a class is selected: A detailed view appears above the summary list with:
- The class name and selected period
- A table of individual attendees showing:
- Name (links to their profile)
- Times attended (color-coded: green for 4+, blue for 2-3, gray for 1)
- Contact information
Results are paginated (25 per page).
Exporting
Click Export CSV to download attendance data. If a specific class is selected, only that class's data is exported. Columns: Date, Name, and Class.
Absentee Report
The Absentee report identifies people who have not attended within a configurable number of weeks. This is similar to the "Who's Missing" report under People, but with additional filtering by class.
How to Access
- Go to Reports > Attendance > Absentees.
- Or click the Absentees quick link on the Attendance Overview page.
What You Will See
Filters let you configure two parameters:
- Absent for -- Select 2 weeks, 3 weeks, 4 weeks, 6 weeks, or 8 weeks.
- Class -- Optionally narrow to a specific class (only shows absentees who are members of that class).
Summary header displays the total number of people matching your filter criteria (e.g., "15 people absent 4+ weeks").
Absentee table with columns:
- Name (links to their profile)
- Last attended date and how many weeks ago
- Contact actions (email, call)
- Link to view profile
If no one matches the filter, a success message is shown: "Great news! No absentees for this filter criteria."
Tip: Filter by class to identify class-specific attendance issues. A class with many absentees may indicate a need for curriculum changes or outreach.
Exporting
Click Export CSV to download the list with columns: Name, Email, Phone, Last Attended, and Weeks Absent.
Check-in Report
The Check-in report provides a detailed log of all check-ins processed through the TimelyChurch check-in system.
How to Access
- Go to Reports > Attendance > Check-ins.
- Or click the Check-ins quick link on the Attendance Overview page.
What You Will See
Summary cards:
- Total Check-ins -- Total number of check-ins in the selected period.
- Unique People -- Number of distinct individuals checked in.
- With Allergies -- Number of check-ins that had allergy information noted (highlighted in red when greater than zero for quick visibility).
Check-in History table with columns:
- Person (name with link to profile)
- Date
- Class
- Checked In By (the staff member or volunteer who processed the check-in, or "System" for self-check-ins)
- Time
Results are paginated (50 per page) and sorted by most recent check-in first.
Changing the Date Range
Use the date range selector to view check-in history for different periods.
Exporting
Click Export CSV to download the check-in log with columns: Date, Time, Name, Class, and Security Code.
Note: The exported CSV includes security codes for each check-in, which can be useful for auditing purposes.
