Member Portal — My Groups

The Member Portal lets ordinary members manage their group involvement without ever opening the admin panel. Group leaders can also do most of their day-to-day group management from the portal — no admin access required. This article describes every page and action under the My Groups section of the portal.

Where to Find It

After logging in to the portal, members navigate to My Groups. The index lists every group the signed-in person belongs to (active membership). The detail page is the per-group hub.

Member-Level Actions

Any active member of a group can do these from the portal:

  • View group details (members, meetings, prayers, resources)
  • RSVP to an upcoming meeting (Yes / No / Maybe)
  • View event registrations for a group's events
  • Submit a prayer request (with optional anonymous flag)
  • Mark their own prayer request as answered
  • Delete their own prayer request
  • Upload a resource (any active member, capped at 20 MB)
  • Download a resource
  • Delete their own resource

Leader-Level Actions

When the signed-in person has the Leader or Co-Leader role on a group, additional buttons appear on the My Group page. These are only shown to actual group members, so an admin who is not a member will not see them in the portal (they should use the admin panel instead).

Group Settings

Membership Management

  • Add a person from the church directory as a member
  • Remove a member (soft removal — sets status to inactive)

Join Request Approval Flow

Public groups set to require approval queue join requests for leader review. Leaders see them on the Join Requests page in the portal:

  • View pending join requests
  • Approve a request (sets member to active, sends notification)
  • Deny a request (removes the pending member record)

Approval sends a notification so the requester knows they're in. Denial silently removes the pending entry — there is no automatic decline email today.

Waitlist Management from the Portal

When the group is at capacity and the waitlist is enabled, leaders can manage the waitlist directly from the portal — no need to switch into the admin panel.

  • Promote the next waitlisted person to active member
  • Remove a waitlist entry

Promotion enforces the same capacity check as the admin panel — if the group is still full, the action is rejected with an error. On success, the new member is added to the chat conversation (when chat is enabled) and receives the standard join-approved notification.

Prayer & Resource Moderation

  • Mark any prayer request as answered
  • Delete any prayer request
  • Delete any resource

Regular members can only mark / delete their own; leaders can act on every entry.

Recording Meetings

Leaders can log a past meeting from the portal. Required fields match the admin panel:

  • Date
  • Topic (optional)
  • Notes (optional)
  • Attendee count (used for the health score)

Recorded meetings update the group's last meeting date and quarterly meeting count.

What Leaders Cannot Do from the Portal

A handful of actions are still admin-panel only:

  • Permanent deletion of a group
  • Editing custom Group Types or Tags
  • Bulk role/permission changes
  • Reordering the waitlist (admin-only)
  • Re-syncing the chat conversation participants (admin-only)
  • Exporting the group Health Report as a PDF (admin-only)

If a leader needs one of these, an admin must either grant the appropriate group permission or perform the action on their behalf.

Tip: When onboarding a new group leader, walk them through the My Groups portal page first — most of what they need (members, prayers, meetings, waitlist) is here, and they never need an admin login. Reserve admin-panel access for staff who manage multiple groups or need permission/tag/type configuration.
