Reports & Analytics Overview
TimelyChurch provides a comprehensive reporting module that gives you real-time insights into your church's health and growth. From the Reports dashboard, you can track people, attendance, schedules, small groups, volunteers, events, forms, and follow-ups -- all in one place.
Accessing Reports
- From the admin sidebar, click Reports to expand the section.
- Choose All Reports to open the main Reports dashboard (quick reports, overview metrics, charts, and links to every report category), or Church Health to open the Church Health dashboard.
Plan requirement: Reports & Analytics is a Pro plan feature. If your church is on the Starter or Growth plan, the Reports section appears locked with an upgrade prompt. Upgrade to Pro to unlock it.
Permissions: Within a Pro plan, access to Reports is controlled by the Reports module permission on your role. Administrators have it by default; you can grant it to other staff under Administration > Roles & Permissions in the sidebar. When editing a role, set the Reports module to None, View, Edit, or Full, or fine-tune the individual permissions for that module.
Reports Dashboard
The main dashboard is divided into several sections designed to surface the most actionable information first.
Quick Reports
At the top of the dashboard, six quick-report tiles give you an at-a-glance summary of items that may need your attention:
- Who's Missing -- Number of active people who have not attended in 2 or more weeks.
- Needs Attention -- Schedule gaps (missing teacher, missing lesson, or needs substitute) in the next two weeks.
- Who's New -- People added in the last 7 days.
- Overdue Follow-ups -- Pending follow-up tasks that are past their due date.
- Birthdays This Week -- Members with birthdays in the current week.
- Serving This Week -- Unique teachers scheduled to serve this week.
Click any tile to navigate directly to the corresponding detailed report.
Overview Metrics
Eight summary cards display your church's key numbers for the selected date range:
- Total People
- Active People
- New (people added in the selected period)
- Families
- Active Classes
- Active Groups
- Volunteers
- Upcoming Events
Charts
The dashboard includes two interactive charts:
- Monthly Growth -- A bar chart showing new people added each month over the last 6 months, along with totals and averages.
- Attendance Trend -- A line chart displaying weekly attendance over the last 8 weeks, along with totals and averages.
Membership Breakdown
A color-coded breakdown of active members by membership status (Visitor, Regular Attendee, Member, Inactive, Former) is displayed at the bottom of the dashboard.
Date Range Selector
Most reports include a date range selector that lets you control the time period for the data shown. The following preset ranges are available:
- Today
- This Week
- Last 7 Days
- This Month (default on most reports)
- Last 30 Days
- Last 90 Days
- This Year
Click the date range button in the upper-right area of any report page to switch between presets. The currently selected dates are displayed alongside the selector.
Report Categories
Reports are organized into the following categories:
| Category | Sub-Reports |
|---|---|
| People | Overview, New People, Missing, Birthdays & Anniversaries, First-Time Visitors |
| Attendance | Overview, By Class, Absentees, Check-ins |
| Schedules | Overview, Coverage Gaps, Teacher Activity |
| Small Groups | Group health, meeting activity, inactive groups |
| Volunteers | Active roster, new volunteers in period |
| Follow-ups | Open/overdue tasks, by category, by assignee |
| Events | Event list with registration counts |
| Forms | Submission counts, pending reviews |
Each category has its own dedicated page with summary statistics, visual breakdowns, and detailed data tables.
Exporting Data
Every report page includes an Export or Export CSV button. Click it to download the report data as a CSV file. For more details, see Exporting Data.
Financial and Giving Reports
Financial and giving reports are not part of the Reports module -- they live in the Finances section of the admin panel. Most of them are gathered on the Financial Reports hub, which you reach from Finances > Accounting > Financial Reports. Depending on which accounting reports your hub shows, you can open:
- Treasurer's Report -- one-page monthly summary for board meetings (PDF)
- Income Statement -- income vs. expenses for a date range
- Balance Sheet -- snapshot of assets, liabilities, and net worth
- Trial Balance -- every account on one page with debit/credit columns
- General Ledger -- pick an account and see every transaction with a running balance
- Budget vs Actual -- compare planned budget against actual results
- 1099 Report -- vendor payments for year-end tax filing
- Giving Statements -- tax-deductible contribution statements for donors
