Teacher Certifications

TimelyChurch tracks safety and ministry certifications for everyone who teaches, leads, or works with children and youth. The certification system records issue dates, expiration dates, and verification status -- and surfaces expiring or expired certs in the admin's Need Attention queue so nothing slips through the cracks.

Certification Types

The system supports seven certification types out of the box:

Background Check
CPR Certification
First Aid
Safe Sanctuary Training
Child Protection Training
Mandated Reporter Training
Other (custom)

The Other type lets your church record any additional certification not in the standard list (e.g., "Lifeguard," "AED Use," "Special Education Endorsement"). When you select Other, fill in the Name field with the descriptive title.


Adding a Certification

Certifications can be added by the teacher themselves (from the portal) or by an admin (from the teacher's profile in the admin panel).

From the Teacher Portal

  1. Log in to the portal and go to Profile.
  2. Scroll to the Certifications section.
  3. Click Add Certification.
  4. Fill in the form:
    • Type -- Select from the list above.
    • Name -- Required only if Type is "Other"; otherwise auto-populated.
    • Issued Date -- The date the certification was earned.
    • Expiration Date -- The date the certification expires (optional for certifications that don't expire, like one-time training).
    • Supporting Document -- Upload a PDF or image of the certificate (optional but recommended).
  5. Submit. The certification is saved with status pending verification.

From the Admin Panel

Admins can add or edit certifications on any teacher's profile and can also set the verification status directly (skipping the pending state if the admin has already physically reviewed the document).


Verification Statuses

Each certification carries a verification status:

Status Meaning
pending The teacher has uploaded the cert, but no admin has reviewed it yet.
verified An admin has reviewed the document and confirmed it is valid. The verifying admin and verification date are recorded.
rejected An admin has reviewed and rejected the document (e.g., expired before issue date, illegible, wrong document). The teacher is typically notified to upload a replacement.
expired The certification's expiration date has passed. The system computes this status automatically based on the date.

Verified certifications record the verifying admin and a timestamp for audit purposes.


Expiration Tracking

The system tracks two derived states based on the expiration date:

Is Expired

A certification is considered expired when its expiration date is in the past (today or earlier). Expired certs render with a red warning indicator in the UI.

Is Expiring Soon

A certification is considered expiring soon when its expiration date is within the next 30 days (between now and 30 days from now). Expiring-soon certs render with a yellow warning indicator.

Certifications without an expiration date (e.g., one-time trainings that never expire) are never flagged as expired or expiring.


Expiration Alerts

Expired and expiring-soon certifications surface in two places:

1. The Teacher's Profile

Both the teacher's own portal profile and the admin's view of the teacher show colored warning indicators next to each cert:

  • Green -- Verified and not close to expiring.
  • Yellow -- Expiring within 30 days.
  • Red -- Expired or rejected.

2. The Admin Need Attention Queue

The admin dashboard's "Need Attention" widget pulls in expiring and expired certifications. From there, an admin can:

  • Click into the teacher's profile to update the cert.
  • Acknowledge the alert to dismiss it from Need Attention without updating the cert. Use this when you've already contacted the teacher and don't want the alert nagging you for the next 30 days.
  • Clear acknowledgement later to make the alert reappear (e.g., if the teacher hasn't updated the cert in time).

Acknowledged alerts are tracked with the acknowledging admin, the time, and an optional note for audit history.

3. Daily Notification Job

Expiration reminders are part of the same daily notification batch as lesson and sub-request reminders -- they go out at 08:00 server time. See Substitute Teacher Requests for the daily-reminder cadence reference.


Reporting on Expiring Certifications

To pull a quick report of who is about to lose certification:

  1. Filter the teacher list by certification status.
  2. Sort by Expiration Date ascending.
  3. The teachers nearest to expiration appear at the top.

For board reporting or compliance audits, exporting this view to CSV gives you a roster of all active teachers, their certifications, and the next expiration date for each -- useful when proving that every child-facing volunteer has a current background check.


Best Practices

  • Verify within 7 days. Don't let pending certs sit -- the longer they sit, the more they pile up.
  • Set a recurring calendar reminder to review the Need Attention queue weekly.
  • Encourage teachers to upload supporting documents. A scanned certificate makes verification fast (and creates a paper trail for audits).
  • Don't rely solely on memory for renewal dates. The system does the math -- trust the yellow/red indicators.
  • Keep the rejection reason kind and clear. Teachers should know exactly what to fix when a cert is rejected.
