Share a Drive Folder with Your Team

A curriculum folder isn't only for lesson storage — you can share it with one or more of your church's serving teams so everyone on that team can find the files they need without you emailing attachments around. Share your "Sunday Service Files" folder with the Worship Team and the Production Team at the same time, and both teams see it show up in their portal automatically.


Sharing a Folder with a Team

  1. Open Lessons from the admin sidebar and switch to folder view.
  2. Find the folder you want to share. Either:
    • Hover the folder tile and click the ••• menu, then choose Share with teams…, or
    • Open the folder, and click Share with teams… in the toolbar at the top.
  3. A panel opens showing any teams the folder is already shared with, plus a search box to add more.
  4. Search for a team by name and click it to add it. The folder is now shared — teammates see it right away.
  5. Repeat for as many teams as you want. There's no limit — one folder can be shared with your whole roster of teams if that's what makes sense for your church.

Only groups of the Team type appear in this picker (regular small groups and Sunday School classes don't show up here — they aren't meant to hold files this way).

Once a folder has at least one team share, it shows a small badge with the number of teams it's shared with, so you can tell at a glance which folders are shared.


Two Levels of Access

Each team you add gets one of two permission levels, shown as a toggle next to their name in the sharing panel:

  • Contribute — the team can view and download everything in the folder, and upload new files. A member can delete only the files they personally uploaded.
  • Manage — everything Contribute allows, plus renaming or deleting any file in the folder, uploaded by anyone.

Switch a team between the two at any time using the toggle, or click the X next to a team to remove its access entirely.

Leaders get Manage automatically. Whatever level you set for a team, that team's leader or co-leader always gets Manage on the folder — not just Contribute. The idea is that whoever runs the team should be able to keep the shared folder tidy, even if you shared it at the more limited level for everyone else.


Where Team Members Find It

Team members see shared folders under Team Files — a card that appears right on their member portal home page once at least one folder has been shared with a team they belong to. There's no separate menu item to hunt for; the card simply shows up. Opening it lists every folder shared with any of their active teams, and opening a folder shows its files with whatever actions their permission level allows (view/download always; upload if Contribute or above; rename/delete-any if Manage).

A member only sees folders shared with teams they're actively on — leaving a team (or being marked inactive on it) removes access to that team's shared folders automatically.


Who Can Do This

  • Church admins, and anyone whose role has the Lessons edit permission, can share a folder with a team, add or remove teams, and change permission levels — this is done from the Lessons admin area, not the portal.
  • A shared team's leader or co-leader automatically gets Manage on that folder's contents (rename/delete any file, upload) once it's shared, but cannot add or remove team shares themselves — that stays an admin action.
  • A regular team member gets whatever level (Contribute or Manage) the team as a whole was given.
  • Someone who isn't on any team the folder is shared with sees nothing — the folder simply doesn't appear for them.
