Check-in Analytics
Check-in Analytics covers two operational reports built on top of your check-in data: Peak Times (when families arrive) and Durations (how long children stay in each class). Together they tell you when to schedule volunteers, where the bottlenecks are at the door, and which classrooms are running short or long.
These reports complement the regular Check-in Report under Attendance, which lists each individual check-in. The analytics reports aggregate that same data into actionable patterns.
Peak Check-in Times
The Peak Times report groups check-ins by the hour of day they were processed and tells you what percentage of total check-ins occurred in each hour.
How to Access
Open the Peak Times report from the Reports module in the sidebar. Access requires the Reports permission and a plan that includes the Reports & Analytics feature (currently the Pro tier).
What the Report Includes
For the selected date range, the report computes:
- Total check-ins -- All check-ins recorded in the period.
- Per-hour breakdown -- Every hour from 12 AM through 11 PM, with:
- The hour label (e.g., "9 AM", "10 AM", "11 AM").
- The raw count of check-ins in that hour.
- The percentage of total check-ins that fell in that hour, rounded to one decimal.
Hours with no check-ins are still included with a count of zero so the chart renders a continuous timeline.
Date Range
Like other reports, Peak Times honors the standard date range presets: Today, This Week, Last 7 Days, This Month (default), Last 30 Days, Last 90 Days, This Year, Last Year, and Custom Range.
How to Read It
- A sharp spike at one hour (e.g., 60% of all check-ins land in the 9-10 AM window) tells you exactly when to staff up the door. Schedule one extra greeter and one extra check-in volunteer for that hour.
- Two roughly equal peaks suggest you have two service times. Confirm both peaks are healthy -- if one is shrinking month over month, the secondary service may be losing momentum.
- A long tail after service start time indicates families arriving late. Consider whether your check-in process can be sped up, or whether class start times need a buffer.
- Activity outside any service window (e.g., 6 PM check-ins on a Wednesday) reflects mid-week programs. Filter to "This Week" to isolate Sunday vs. midweek patterns.
Tip: Run Peak Times with "Last 90 Days" selected once a quarter. The longer window smooths out one-off events (special services, holidays) and reveals your true baseline pattern.
Check-in Durations
The Durations report measures how long each child stayed checked in -- the gap between the check-in time and the check-out time -- and rolls those figures up by group/class.
This only includes check-ins that were also checked out. Sessions where a parent forgot to check out (or a volunteer didn't process the checkout) are excluded so they don't skew the average toward "all day."
How to Access
Open the Durations report from the Reports module in the sidebar. Access requires the Reports permission and a plan that includes the Reports & Analytics feature (currently the Pro tier).
What the Report Includes
- Overall average duration (in minutes) across every checked-out session in the period.
- Total checkouts -- How many sessions had both a check-in and a check-out timestamp. (If this is much smaller than your check-in total, your team is forgetting to process checkouts.)
- By group -- For each class/group with at least one full check-in/check-out cycle:
- Group name
- Average duration in minutes
- Minimum duration (the shortest session)
- Maximum duration (the longest session)
- Total checkouts
- Sorted by total checkouts (highest-volume groups first)
All durations are rounded to one decimal place.
How to Read It
- Average duration matches your service length: healthy. A 75-minute average for a 75-minute service means most kids stay for the whole service.
- Average much shorter than service length: parents are pulling kids out early. That can be normal for nurseries (fussy infants) but unusual for elementary classes -- worth asking volunteers about.
- Maximum duration far above average: at least one child stayed long after service ended. This is often a forgotten-checkout, but for repeated cases consider whether parents need a reminder system.
- Minimum duration of just a few minutes: a parent or volunteer checked the child in then immediately checked them back out. Sometimes this is intentional (wrong class), sometimes it's a UI mis-tap. If you see a pattern, audit the workflow.
- Group with very few checkouts compared to high check-ins: the volunteers in that group aren't completing the checkout step. Coach them on the process; without checkouts, this report is blind to their classes.
Tip: Compare the per-group averages to the total checkouts column. A group with 200 checkouts and a stable average is statistically meaningful; a group with 3 checkouts and a 45-minute average tells you almost nothing.
What These Reports Do Not Show
- No exports. Neither report currently offers an Export CSV button. Use your browser's screenshot or print-to-PDF feature to share with the team. (See Exporting Data for the full export support matrix.)
- No per-person view. Both reports aggregate. To see who specifically checked in or out, use the Check-in Report.
- No filter by group on Peak Times. The hour breakdown is church-wide. To see when a specific class fills up, you'd need to cross-reference the per-check-in log.
Permissions
Both reports require the Reports permission, the same as every other Reports module page. The entire Reports module is also limited by plan tier: it requires the Reports & Analytics feature, which is included on the Pro plan. Churches on lower tiers won't see the Reports module in the sidebar, so these check-in analytics are unavailable to them.
