Setting up a Brother label printer for check-in (QL-820NWB and similar)

TimelyChurch prints check-in name tags and security labels straight from your browser's Print Labels button (or, on a tablet, the true-size PDF behind Print on iPad / Tablet — see Printing on iPad or Tablet) onto a Brother QL-series label printer. Getting the printer connected and configured correctly the first time saves you from the single most common check-in printing failure: the printer refusing the job because the wrong paper size is selected in Windows. This article covers connecting a Brother QL printer, the one setting that fixes that failure, and how to troubleshoot from there.


What You Need

  • A Brother QL-series label printer. We've tested this setup against the Brother QL-820NWB; the steps below are the same for other QL models (QL-810W, QL-1100, and similar).
  • A DK roll loaded in the printer — either:
    • Die-cut labels, such as DK-11202 (62mm × 100mm) — pre-cut individual labels, one per name tag.
    • Continuous tape, such as DK-22205 (62mm / 2.4in wide) — one long roll that the printer cuts to length itself.
    • Brother prints both the width and the DK number right on the leader of the roll, so you can always confirm what's loaded by unrolling a few inches.
  • The Brother Windows driver for your exact model, downloaded from support.brother.com (search your model number). Install this before relying on Windows to auto-detect the printer over USB — see below.

Connecting the Printer

Brother QL printers connect three ways. Pick whichever fits your check-in station; you only need one.

USB

Plug the printer into the check-in computer with its USB cable. Windows usually detects a Brother QL automatically and installs a driver on its own. If it doesn't — or the printer shows up as an unrecognized device — download and run the Brother driver installer for your model from support.brother.com first, then reconnect the USB cable.

Wi-Fi

Put the printer on the same Wi-Fi network as the check-in computer. Brother's driver installer walks you through connecting the printer to Wi-Fi during setup (it's easiest to run the installer with the printer connected by USB the first time, then let it switch the printer over to Wi-Fi). Once the printer is on the network, add it in Windows:

  1. Open Settings → Bluetooth & devices → Printers & scanners.
  2. Click Add device and choose your Brother printer once it appears.

Bluetooth

Pair the printer first, then add it as a printer:

  1. Open Settings → Bluetooth & devices, turn on Bluetooth, and pair with the Brother printer.
  2. Go to Printers & scanners and add it the same way as above.

Note: USB or Wi-Fi is steadier for a busy check-in line — neither depends on a wireless pairing staying connected while dozens of labels print back-to-back. Bluetooth works fine, but it's best kept as a fallback rather than your primary connection.


The One Windows Setting That Matters

This is the fix for the single most common Brother check-in printing failure — the exact setting that resolved a real case for us:

  1. Open Settings → Bluetooth & devices → Printers & scanners.
  2. Click your Brother printer, then click Printing preferences.
  3. Set Paper Size to 62mm × 100mm — and pick the right kind of 62×100 entry for your roll: the continuous entry if you loaded continuous tape (DK-22205), or the die-cut entry if you loaded die-cut labels (DK-11202).
  4. Set margins and feed to none.

Why this matters: the Brother driver ships defaulting to a small address-label size (1.1" × 3.5" — Brother's DK-11201 stock), not the 62mm × 100mm size check-in labels use. Your browser's print dialog inherits its paper-size options from whatever the driver is currently set to, so if the driver is still on its default, there's no correct size to pick when you print from TimelyChurch. The printer then refuses the job outright rather than printing the wrong size:

"The roll of labels or tape inside the machine does not match the one selected in the application."

Setting the driver's own Paper Size once, in Windows, fixes this for every future print — you don't need to touch it again per print job.


Printing from TimelyChurch

  1. Check people in.

  2. Click Print Labels.

  3. In the browser's print dialog:

    • Choose your Brother printer.
    • Set Paper Size to 62mm × 100mm.
    • Set Margins to None.
    • Set Scale to 100%.

    The print screen's own reminder banner says the same thing, so it's there if you forget.

  4. Print a test label for one person before the crowd arrives, and confirm it comes out the right size before your first real Sunday check-in line.


Troubleshooting

"The roll of labels or tape inside the machine does not match the one selected in the application" — job stuck at 0%

This is the driver paper-size mismatch described above. Fix it in this order:

  1. Click Cancel on the stuck job — not Resume. Resume prints the job at the wrong size instead of fixing it.
  2. Open the print queue and clear anything still sitting there.
  3. Set the driver's Paper Size correctly (see The One Windows Setting That Matters above).
  4. Print again.

Labels come out the wrong length

This means the driver's paper-size entry doesn't match what's actually loaded — usually continuous tape selected when die-cut is loaded, or the reverse. Check the roll itself: Brother prints the DK number on the leader (for example, "205" on the leader means DK-22205 continuous tape; DK-11202 is die-cut). Match the driver's Paper Size entry — continuous vs. die-cut — to what the roll's leader says.

Nothing happens at all

  1. Open the Windows print queue and clear any stuck jobs.
  2. Check the printer's status light — a blinking or colored light usually means it's out of labels, the cover is open, or it needs attention.
  3. Reseat the DK roll (open the cover, lift the roll out, and reload it) in case it wasn't seated correctly.

macOS

  1. Open System Settings → Printers & Scanners and add the Brother printer using the Brother driver.
  2. In the print dialog, choose the 62mm × 100mm paper size.

The same size rule applies on macOS as on Windows — the paper size selected in the driver has to match the roll that's actually loaded.
