People Reports

People reports help you understand your congregation's demographics, track growth, identify who's missing, celebrate birthdays and anniversaries, and monitor visitor engagement. All people reports are accessible from Reports > People in the admin panel.

People Overview

The People Overview report provides a high-level snapshot of your entire congregation.

How to Access

  1. Go to Reports in the admin sidebar.
  2. Under the People category, click Overview.

What You Will See

Summary cards at the top of the page display:

  • Total -- All people in your database.
  • Active -- People marked as active.
  • Inactive -- People marked as inactive.
  • New -- People added during the selected date range.

Age Demographics -- A horizontal bar chart breaks down your active members into age groups:

  • 0-5, 6-12, 13-17, 18-25, 26-40, 41-60, 60+

Membership Status -- A doughnut chart shows the distribution of active people across membership statuses (Visitor, Regular Attendee, Member, Inactive, Former).

Gender Distribution -- A pie chart displaying the male/female breakdown of active members.

Contact Completeness -- Progress bars showing what percentage of your active people have:

  • An email address on file
  • A phone number on file
  • A mailing address on file

Tip: Low contact completeness percentages indicate an opportunity to update your records. Consider running a "contact info update" campaign to fill in missing emails and phone numbers.

Monthly Growth -- A bar chart showing the number of new people added each month over the last 12 months.

Changing the Date Range

Use the date range selector at the top of the page to adjust which period the "New" count and other date-sensitive metrics reflect.

Exporting

Click the Export button in the upper-right corner to download a CSV file containing all active people with their name, email, phone, membership status, gender, and birthdate.


New People Report

This report shows everyone added to your church database during a specific period.

How to Access

  1. Go to Reports > People > New People.
  2. Or from the dashboard, click the Who's New quick report tile.

What You Will See

Summary cards:

  • New People -- Total count of people added in the selected period.
  • With Email -- How many of those new people have an email address on file.
  • Visitors -- How many of the new people have a "visitor" membership status.

People table with columns:

  • Name (links to the person's profile)
  • Membership status
  • Contact info (email or phone)
  • Date added

Results are paginated (25 per page) and sorted by most recently added first.

Changing the Date Range

Use the date range selector to narrow or expand the period. For example, select "Last 7 Days" to see only the most recent additions.

Exporting

Click Export CSV to download the list with columns: Name, Email, Phone, Status, and Added On.


Who's Missing Report

The Missing report identifies active people who have not attended any class or service within a configurable number of weeks. This is one of the most valuable pastoral care tools in the platform.

How to Access

  1. Go to Reports > People > Missing.
  2. Or click the Who's Missing quick report tile on the Reports dashboard.

What You Will See

Summary banner with four counts showing how many people are missing at different thresholds:

  • 2+ weeks absent
  • 4+ weeks absent
  • 6+ weeks absent
  • 8+ weeks absent

Click any of these counts to filter the list to that threshold. Items at 6+ weeks show a warning icon to indicate urgency.

Filter controls let you select the absence threshold:

  • 2+ weeks, 3+ weeks, 4+ weeks, 6+ weeks, or 8+ weeks

Results table (desktop) or card view (mobile) with columns:

  • Name and membership status
  • Last attended date
  • Weeks absent (color-coded by urgency: amber for 2-3 weeks, orange for 4-5 weeks, red for 6+ weeks)
  • Contact actions (email, call, or text directly from the report)
  • Link to view the person's profile

Tip: Review the 2-week missing report weekly as part of your pastoral care routine. Reaching out early -- before someone has been gone a month -- dramatically increases the likelihood they return.

Exporting

Click Export to download a CSV with columns: Name, Email, Phone, and Last Attended.


Birthdays & Anniversaries Report

This report helps you celebrate your congregation by showing upcoming birthdays and anniversaries.

How to Access

  1. Go to Reports > People > Birthdays.
  2. Or click the Birthdays quick report tile on the Reports dashboard.

What You Will See

Period filter at the top lets you choose from:

  • This Week
  • Next Week
  • This Month (default)
  • Next Month

Summary cards:

  • Birthdays This Week
  • Birthdays This Month
  • Anniversaries This Month

Birthdays section lists each person whose birthday falls in the selected period, showing:

  • Name (links to their profile)
  • Birthday date and the age they are turning
  • Quick-action buttons to send a birthday email or text message

Anniversaries section lists each person with an anniversary in the selected period, showing:

  • Name (links to their profile)
  • Anniversary date

Tip: Use the "Next Week" filter on Fridays to prepare birthday cards or messages for the coming week.

Exporting

Click Export CSV to download the birthday list with columns: Name, Birthday, Turning Age, Email, and Phone.


First-Time Visitors Report

This report tracks first-time visitors, their return rate, and whether follow-up has been initiated.

How to Access

  1. Go to Reports > People > Visitors.

What You Will See

Summary cards:

  • Total Visitors -- Number of people with "visitor" status added during the selected period.
  • Returned (2+ visits) -- Visitors who came back at least a second time.
  • Became Members -- Visitors from this period who have since been updated to a non-visitor membership status.
  • With Follow-up -- Visitors who have at least one follow-up task assigned.

Visitors table with columns:

  • Name (links to profile)
  • First visit date
  • Total visits (color-coded: green for 2+ visits)
  • Follow-up status ("Follow-up assigned" or "Needs follow-up")
  • Contact actions (email, call)
  • Link to view profile

Results are paginated (25 per page) and sorted by most recent first.

Tip: Pay close attention to visitors who show "Needs follow-up." Assigning a follow-up task within the first week of a visit significantly increases visitor retention.

Changing the Date Range

Use the date range selector to view visitors from different time periods. Select "Last 90 Days" for a broader picture of your visitor pipeline.

Exporting

Click Export CSV to download the list with columns: Name, Email, Phone, First Visit, and Total Visits.
