Giving Reports
Giving reports in TimelyChurch help you track donations, analyze donor activity, view fund breakdowns, and generate giving statements for tax purposes. Giving reports are located in the Finances section of the admin panel (not the Reports module).
Note: The Giving module is a premium feature. Your church plan must include the "giving" feature to access this section.
Accessing Giving Reports
- From the admin sidebar, go to Finances > Giving.
- The Giving page displays all donations with filtering options and summary statistics.
Donation List and Filtering
The main Giving page shows a list of all recorded donations within a date range. You can filter donations by:
- Date range -- Set a start date and end date (defaults to the current month).
- Payment method -- Filter by cash, check, online, or other payment methods.
- Fund -- Filter by a specific fund to see only donations allocated to that fund.
Each donation entry shows the donor's name, amount, date, payment method, and fund allocation.
Giving Summary Statistics
At the top of the Giving page, summary cards display key metrics for the selected period:
- Total Amount -- Sum of all donations in the period.
- Donation Count -- Number of individual donation records.
- Unique Donors -- Number of distinct people who gave.
- Average Amount -- Average donation size.
- In-Person Amount -- Total from in-person giving methods (cash, check).
- Online Amount -- Total from online giving.
- Recurring Amount -- Total from recurring donations.
- By Method -- Breakdown of totals by each payment method.
Individual Donation Details
Click any donation to view its full details, including:
- Donor information
- Amount and date
- Payment method
- Fund allocations (a single donation can be split across multiple funds)
- Who recorded the donation
- Notes
From the detail view, you can also:
- Print or download a receipt for the donor
- Email a receipt directly to the donor
Donation Receipts
Individual Receipts
- Navigate to Finances > Giving and click a donation.
- Click Receipt to view a printable receipt.
- Click Email Receipt to send the receipt directly to the donor's email address.
Giving Statements (Year-End Tax Statements)
Giving statements are comprehensive summaries of a donor's contributions over a period, typically generated for year-end tax purposes.
- Go to Finances > Statements.
- Select a donor to preview their giving statement.
- Click Download PDF to save the statement.
- Click Email Statement to send the PDF directly to the donor.
Bulk statements: Use the Bulk Generate option to generate giving statements for all donors at once. This is especially useful at year-end when you need to distribute tax receipts.
Tip: Generate and distribute giving statements in January to help your donors with their tax filings. The bulk generation feature saves significant time for larger congregations.
Fund Breakdown
Funds allow you to categorize donations into specific purposes (e.g., General Fund, Building Fund, Missions).
- Go to Finances > Funds to see all configured funds.
- Each fund shows its total donations.
- When viewing donations, you can filter by fund to see all gifts directed to a specific purpose.
Deposit Batches
Deposit batches help you group donations together for bank deposits.
- Go to Finances > Giving > Batches to manage deposit batches.
- Create a new batch, add donations to it, and close the batch when complete.
- Generate a Deposit Slip for any batch to take to the bank.
Exporting Giving Data
Standard CSV/Excel/PDF Export
- Go to Finances > Giving.
- Set your desired date range and any filters.
- Click the Export button.
- Choose your export format: CSV, Excel, or PDF.
- Select which fields to include in the export.
- Click Download.
Heads up about the "Excel" format: Today the Excel option produces a CSV file with an
.xlsxextension and anapplication/vnd.ms-excelMIME type, not a true Excel binary. Excel, Google Sheets, and Numbers all open it correctly, but power users running scripts or strict spreadsheet tooling against the file should treat it as CSV (or select CSV explicitly).
Important: Financial data exports are limited to a 2-year window for data preservation policy. You cannot export giving data older than 2 years.
Exported Fields
The export can include:
- Donor name
- Phone
- Donation amount
- Date
- Payment method
- Fund allocations
- Notes
Pledge Campaigns
If your church runs fundraising or pledge campaigns, donation data tied to campaigns is tracked separately.
- Go to Finances > Pledges to view campaigns.
- Each campaign shows total pledged amounts vs. actual donations received.
- Campaign donation details are accessible from the campaign detail page.
Online Giving Integration
If your church has Stripe Connect enabled for online giving:
- Online donations are automatically recorded in the system.
- They appear in the Giving list with "online" as the payment method.
- Receipts are generated automatically.
- Recurring online donations are tracked with their recurring schedule.
