Volunteer Reports and Tracking
TimelyChurch tracks detailed volunteer participation data that helps church leaders understand serving patterns, identify burnout risks, and ensure fair rotation. This article covers the statistics, tracking, and reporting features available for volunteer management.
Volunteer Roster Statistics
Open the sidebar Reports section, click All Reports, then choose Volunteers to open the Volunteers report. Use the date-range selector at the top to set the period you want to look at. The report shows three summary cards:

| Active Volunteers | People who were actively assigned to serve in the selected period |
| New in Period | People who served for the first time during the selected period (no prior assignments) |
These numbers give you a quick snapshot of your volunteer base for the chosen date range.
Individual Volunteer Profiles
A person's serving information lives on their Serving tab. Open People, click a person to open their profile, then select the Serving tab. At the top you will see four summary tiles:
- Teams -- How many serving teams this person belongs to
- Upcoming -- How many upcoming event assignments they have
- Pending -- How many of those upcoming assignments are still awaiting a response
- Past -- How many past events they were assigned to (their service history)
Below the tiles the Serving tab lists their Upcoming Assignments and Service History (each showing the event, the position, the date, and the response/check-in status). If the person has any older ministry Volunteer Roles or Unavailable Dates on file, those sections appear as well.
Team Member Serving Statistics
For team members (the event-based scheduling system), TimelyChurch tracks much more granular data:
Per-Member Statistics

The "Last Served" text is displayed in a human-readable format:
- "Today" / "Yesterday" / "3 days ago" / "2 weeks ago" / or the actual date if more than 30 days ago
- "Never served" if the member has never been assigned to an event
Acceptance Statistics
TimelyChurch tracks how reliably each team member responds to assignments:

These statistics are updated in real time as volunteers accept or decline assignments.
Skill Progression
The system uses acceptance statistics to suggest skill-level upgrades:

When a team member meets the criteria, a skill suggestion is created. Team leaders can:
- Approve the suggestion -- The member's skill level is upgraded
- Dismiss the suggestion -- The suggestion is marked as dismissed (it will reappear if criteria are met again after further progress)
The suggestion includes a reason string (e.g., "15 accepted assignments, 82.3% acceptance rate") so leaders can make an informed decision.
Burnout Detection
TimelyChurch provides several indicators to help identify volunteers who may be at risk of burnout:
High-Frequency Server Flag
A team member is flagged as a "high-frequency server" when they have served 3 or more times in the current month. This flag appears in the smart suggestion interface to warn admins before assigning them again.
Scheduling Priority Score (Smart Suggestion ranking)
This is the simple priority score used to rank candidates inside the green Suggested category when admins assign volunteers manually from an event's Serving tab. It uses only three factors:
- +100 points -- Has never served (highest priority for new volunteers)
- +1 point per day since last served (up to +50 max)
- -10 points per time served this month
The score is clamped to a minimum of 0. A high score means the member is overdue for rotation; a 0 means they have been serving frequently and should be given a break.
Two scoring systems, two purposes. The score above ranks the green Suggested list during manual assignment. It does NOT include day/time preferences, frequency caps, or min-days rules. The auto-scheduler's Fair Rotation algorithm (see "Understanding the Scoring Algorithm" below) is the more comprehensive one that takes preferences and caps into account when running Auto-Fill.
Needs Rotation Flag
A member "needs rotation" if they have not served in the past 14 days (or have never served). This is used by the smart suggestion system to categorize volunteers as "Suggested" (needs rotation) vs. "Recently Served."
Event-Level Serving Reports
Serving Tab Statistics
On each event's Serving tab, you can see:
- Fill status per position -- How many of the needed slots are filled (e.g., "2/4 filled")
- Fill percentage -- A visual progress bar showing completion
- Assignment status breakdown -- How many are Pending, Confirmed, or Declined
- Fully staffed indicator -- Whether all positions have enough volunteers
Assignment Details
For each assignment, you can see:

Event Serving History
For recurring events, you can view similar past events and their volunteer data through the "Copy From Previous Event" feature. This effectively serves as a serving history view, showing:
- Past event dates
- How many positions were defined
- How many volunteers were assigned
- Position-by-position breakdown (position name, assigned count, needed count)
Filtering and Searching
Volunteers Report Date Range
The Volunteers report (Reports → All Reports → Volunteers) is filtered by a date-range selector at the top of the page. Choose a preset range or set custom start and end dates, and every summary card and the volunteer table below update to show only people who had event volunteer assignments in that period. You can also click Export CSV to download the list (Name, Email, Phone, Assignments, Last Served) for team coordination or appreciation planning.
Smart Suggestion Categories
When assigning volunteers through the event Serving tab, the smart suggestion system categorizes team members into:
- Suggested -- Have not served in 14+ days, available, sorted by priority score
- Recently Served -- Available but served recently, sorted by most recent
- Unavailable -- Marked as unavailable on the event date (with reason shown)
- Conflicts -- Already assigned to another position or overlapping event
Understanding the Scoring Algorithm (Auto-Scheduler)
The auto-scheduler uses a richer scoring algorithm than the Smart Suggestion ranking above. This is the algorithm that runs when you click Auto-Fill Position, Auto-Fill Series, or any team-template auto-assignment. It supports two strategies (Fair Rotation and Round Robin).
Here is how the Fair Rotation strategy scores candidates:

| Already at this event | -30 | Assigned to another position same event |
| Same-day assignment | -15 | Has assignment at another event same day |
For the Round Robin strategy, scoring is based purely on position in the rotation order. The next person in line receives the highest score.
Serving Statistics Updates
Serving statistics are updated automatically at specific moments:
- When an assignment is confirmed -- The system records the date served, adds to the member's total times served, and adds to their count for the current month
- Monthly reset -- The "times served this month" counter automatically resets when a new month begins
- When a new assignment is created -- The member's total assignments count goes up
- When an assignment is accepted -- The accepted count goes up and the system checks whether a skill upgrade should be suggested
- When an assignment is declined -- The declined count goes up
Tip: Review your volunteer serving statistics monthly to identify volunteers who may be over-serving or under-serving. The scheduling priority score makes it easy to spot imbalances -- members with very high scores are overdue for a serving opportunity, while members with low scores may need a break.
Tip: Pay attention to acceptance rates. A declining acceptance rate for a team member may indicate they are being scheduled too frequently or at inconvenient times. Consider adjusting their serving frequency preference or having a conversation about their availability.
Tip: Use the skill progression suggestions as a way to recognize and encourage your volunteers. When the system suggests a skill upgrade, take a moment to personally acknowledge the volunteer's faithfulness and growth.
