Member AI Chat Assistant

The Member AI Chat Assistant is a public-facing chat widget available to your church members and visitors. Powered by xAI Grok, it answers common questions about your church using real, up-to-date data -- not generic responses.

How Members Access It

When the Member Chat feature is enabled, a purple chat bubble appears in the bottom-right corner of your church's member-facing portal pages. Members (and even visitors who are not logged in) can click it to open the chat and start asking questions.

What Members Can Ask About

Service Times and Location

Members and visitors frequently want to know when and where services happen. If you have added service time information to your AI Training Data (see the AI Settings article), the AI will answer these questions accurately.

  • "What time is the Sunday service?"
  • "Where is the church located?"
  • "Do you have a Wednesday evening service?"

Upcoming Events

The AI automatically knows about your upcoming public events (up to 60 days ahead). Members can ask:

  • "What events are coming up?"
  • "Is there anything happening this weekend?"
  • "When is the next youth group meeting?"

The AI will respond with event names, dates, times, and locations pulled directly from your Events module.

Current Announcements

Active announcements from your Announcements module are included in the AI's context. Members can ask:

  • "Are there any announcements?"
  • "What's new at the church?"

Church Information

If you have added custom training data in the AI Settings (FAQs, beliefs, ministry descriptions, church policies), the AI can answer questions about those topics:

  • "What does the church believe about baptism?"
  • "How do I join a small group?"
  • "What ministries do you offer for children?"
  • "What is the church's dress code?"

General Questions

The AI is conversational and can handle a variety of general questions a visitor or member might ask, such as:

  • "How do I get involved?"
  • "Who should I contact about volunteering?"
  • "Is there parking available?"

Quick Action Buttons

When a member first opens the chat (before any messages), they see helpful quick-start buttons:

  • Service Times -- asks about Sunday service times
  • Upcoming Events -- asks about upcoming events

These help members get started without needing to type.

How It Works Behind the Scenes

When a member sends a message, the system:

  1. Loads your church's public information (name, address, phone, email, website)
  2. Loads upcoming public events (next 60 days) and active announcements
  3. Loads any active AI Training Data you have configured (FAQs, service info, beliefs, etc.)
  4. Sends the question along with this context to xAI Grok
  5. Returns a friendly, accurate response

The AI maintains conversation history within a session (up to 24 hours), so members can ask follow-up questions naturally.

What the Member Chat Cannot Do

The member-facing chat is intentionally limited compared to the admin chat:

  • It cannot query the database for people, membership counts, or demographics
  • It cannot create announcements, events, or modify any records
  • It cannot access private member information, financial data, or internal notes
  • It cannot use the admin tool functions (search people, create events, etc.)

It is a read-only, informational assistant designed to help members and visitors get answers to common questions.

Anonymous and Logged-In Users

  • Logged-in members -- the conversation is associated with their user account
  • Anonymous visitors -- the system generates a session ID to maintain conversation context during their visit

In both cases, conversations expire after 24 hours of inactivity.

Improving Member Chat Responses

The quality of the member chat depends heavily on the training data you provide. To get the best results:

  1. Add service times -- Go to Settings > AI Settings and add a "Service Times & Location" context entry with your complete schedule.

  2. Add FAQs -- Think about what members and visitors commonly ask (parking, childcare, dress code, how to get involved) and add those as FAQ entries.

  3. Add your beliefs -- If you want the AI to accurately represent your church's theological positions, add a "Statement of Faith & Beliefs" entry.

  4. Add ministry descriptions -- Describe your children's ministry, youth group, small groups, and other programs so the AI can direct people to the right place.

  5. Keep events updated -- The AI automatically pulls from your Events module, so keeping your events current means the chat always has accurate information.

Tip: Periodically test the member chat yourself by asking the types of questions a visitor would ask. If the AI gives an incomplete or incorrect answer, add or update the relevant training data in your AI Settings.

Privacy Protections

The member chat has strict privacy boundaries:

  • No personal member data is ever exposed through the member chat
  • The AI cannot look up individual people or their information
  • Only publicly available church information, events, and announcements are shared
  • The AI is instructed to direct complex or sensitive questions to church staff
